What we collect and why

Lumina is an informational website. We do not sell anything through this site, we do not have user accounts, and we do not host a store, a blog with comments, or a member area.

Here is everything we collect.

Retreat application form

When you apply to attend a retreat, we ask for information such as your name, email address, phone number, and answers to questions about your background, your intentions, and your health.

Some of what you share is sensitive. That can include your physical and mental health history, medications you take, and past experiences with substances. We ask for it because plant medicine work is not safe for everyone, and we need this information to decide whether we can serve you safely. We only use it for that purpose.

Applications are reviewed by a person, not by software. No automated system approves or denies you.

We collect this information with your consent, which you give by submitting the form. You can withdraw that consent at any time by contacting us.

Contact form

When you use the contact form, we collect your name, email address, phone number if you provide it, and whatever you write in your message. We use it to reply to you and to keep a record of the conversation.

Phone calls and text messages

If you call or text us, we will have your phone number and any message you send. We may call or text you back at that number. Standard message and data rates from your carrier may apply. You can ask us to stop contacting you at any time and we will.

We do not use your phone number for marketing lists and we do not share it with anyone for marketing.

Scheduling a call

Our scheduling page is powered by Calendly, a third party service. When you book a call, you provide your information directly to Calendly and it is handled under their privacy policy, not ours. Cookies

Our site sets a small number of cookies. Most are from Google Analytics and are used to tell repeat visits apart and to measure how the site is used. We do not use cookies for advertising and we do not run ad trackers.

You can block or delete cookies in your browser settings. The site will still work.

Analytics

We use Google Analytics to see how many people visit the site, which pages they read, and roughly where they come from. This information is aggregated. We are not trying to identify you personally.

Google Analytics collects your IP address, browser and device type, pages viewed, and referring site. Google’s privacy policy is at https://policies.google.com/privacy. You can opt out across all sites using Google’s browser add-on at https://tools.google.com/dlpage/gaoptout.

We also use Google Search Console, which shows us which search terms bring people to the site. It does not identify individual visitors.

Server logs

Our web host keeps standard server logs that include IP addresses and requested pages. These are used for security and troubleshooting.

Who we share your data with

We do not sell your information. We do not rent it, trade it, or hand it to advertisers.

We share information only with the services that help us run the site and communicate with you:

• Google (Analytics and Search Console) for site traffic data
• Calendly for call scheduling
• Forminator / WPX for delivering and storing form submissions
• WPX for hosting the site

Application details are seen only by the small team who reviews applications and facilitates retreats.

We will release information if the law requires it, or if it is necessary to protect someone’s safety.

How long we keep your data

• Retreat applications: 3 years after your application, or after your last retreat with us
• Contact form messages and emails: 2 years
• Text messages and call records: 1 year
• Analytics data: 14 months, the Google Analytics default

You can ask us to delete your information sooner. See the next section.

Your rights

You can ask us to:

• Tell you what information we have about you
• Send you a copy of it
• Correct anything that is wrong
• Delete it

Send us a message through our contact page and we will respond within 30 days. We may need to verify who you are first.

If you live in California, the European Union, the United Kingdom, or another place with its own privacy law, you may have additional rights under that law. Contact us and we will honor them.

There are limits. If we are required to keep certain records for legal or safety reasons, we will tell you what we are keeping and why.

Where your data is sent

Lumina is based in the United States and your information is stored on servers in the United States. If you are contacting us from outside the U.S., your information will be transferred here.

Our service providers, including Google and Calendly, may process data in other countries under their own safeguards and privacy terms.

How we protect your data

The site runs over an encrypted connection (HTTPS). Access to application information is limited to the people who need it. Accounts that hold personal information use strong passwords and two factor authentication where the service supports it.

No system is perfect, and we will not pretend otherwise. But we treat what you share with us as private, and we handle health information the way we would want ours handled.

If there is a data breach

If we learn that your personal information has been exposed, we will investigate, take steps to contain it, and notify you and any required authorities as the law requires.

Children

This site and our retreats are for adults 18 and older. We do not knowingly collect information from anyone under 18. If you believe a minor has sent us information, contact us and we will delete it.

Health information disclaimer

Nothing on this site is medical advice. Information you share with us in an application is used to assess fit and safety for our retreats. It is not a medical record and we are not a healthcare provider. Talk with your own doctor about your health.

Changes to this policy

We may update this policy. When we do, we will change the date at the top. Continuing to use the site after a change means you accept the updated policy.
